Description of Position

The Advancement Specialist manages and coordinates the alumni development information systems and database; including associated records for groups of constituents. This position interfaces with all development, alumni and campus leaders.  Responsive towards information requests and enhancing the value and use of the information for development, alumni and external programs. The Specialist will be responsible for the utilization of a prospect and donor research system and for coordination of the gifts and pledge accounting and stewardship operations. 

 

The Advancement Services Specialist is a year-round, full-time, non-exempt position. The Specialist will report to the Advancement Services Coordinator and will provide assistance to all members of the University Advancement team.

Essential Functions

  •  Assume direct responsibility for all alumni/development systems and services in order to meet short and long-range goals and objectives. 
  • Work with members of the University Advancement team to identify their information needs.
  • Participate in program planning with annual giving, major giving, planned giving, campaign, alumni and programs.
  • Organize and implement a prospect and donor research system. 
  • Coordinate gifts, prospect management and stewardship operations.
  • Maintain a high standard of service in providing information and support to users, staff and volunteers.
  • Develop a complete set of policies and procedures for efficient day-to-day operations. 
  • Assure the accuracy and quality of building and maintaining constituent information (biographical, gift, and relational). 
  • Provide ongoing user training to encourage and anticipate end-user needs.
  • Coordinate, support and track all report requests. 
  • Develop an understanding of fund-raising and constituent relations programs and take a proactive role to support them.
  • Maintain an active relationship with software system vendor(s). 
  • Keep informed about product issues and developments. Attend vendor user group meetings and recommend changes and enhancements to the vendor systems.
  • Perform other duties as assigned.

Minimum Qualifications

  • Associates Degree
  • Three (3) – five (5) years’ experience managing database systems and support operations.
  • Proven computer systems experience, knowledge and basic technical awareness to manage complex information systems and electronic databases.
  • Experience working with and training staff in systems use, report writing and table management, ability to develop procedures for systems use and train technical and non-technical users.
  • Excellent customer service skills with strong communication skills both in oral and written forms.
  • High level of computer competency with knowledge of Windows, Microsoft Word and Excel and ability to learn job specific programs.
  • A commitment to use information resources ethically and to honor standards of confidentiality in working with constituent and institutional information.

Compensation
The salary will be determined by the educational background and experience of each applicant and will be discussed with individual candidates as they are invited to interview for this position.
